Managing multiple photographers and equipment

HI,

I'm Jenn. I'm managing multiple photographers and their equipment. Right now we have several backgrounds and all of the photographers have access to them. Problem A, the photographers are taking what they want and leaving other photographers in a bind when that background is needed. Ive thought about signing the backgrounds in and out and having them locked up but honestly that would mean getting calls at all times of the night or morning having to run down to the studio to check them out. HELP!!!! I need a good idea and quickly!

Just a thought - you need an online calendar where they can book what equipment they will need in advance. If it's not booked it's available. If it's booked by someone else, they can't take it.

Why on earth would anyone need 3 or more rolls of background? What are they shooting, the moon?!

Maybe you should start charging for the hire of any more than 1 roll.

Either get more backgrounds, make your photographers understand the issues, or get new, considerate and professional photographers.

You can also start charging deposits for equipment.

Seems like you'd need to have procedures established and in writing so they all know what's expected. I don't know long they sign out equipment for but is it long enough that they'd have more than one shoot scheduled and would need 3 or so different backgrounds? If so maybe you need to have more available. Or consider charges for keeping out equipment longer than the contracted amount of time, or limit how many anyone can take at once.
